Outside Team Invitees Permissions

Outside Team Invitees Permissions

When an Account Owner employs virtual assistants or other part-time help that may work for several different Account Owners, inviting them to work as an Outside Team member is the best option. However, before inviting a virtual assistant to work within your environment, it is important for Account Owners to under what access they are providing to Outside Team Invitees.

Info - For additional information about the various account structures within ParkSitesIO, please refer to our article titled User Account Structure Types.
Info - To help decide if creating an Outside Team is right for you, please refer to our article titled Sub-Account Users vs. Outside Team Members.

Record Access
When an Account Owner invites another user to join their Outside Team, the Account Owner is providing full access to all of the records stored within the Park Sites View and CRM View of their dashboard.

This means that Outside Team invitees have the user rights and permissions to read, write, and delete any record that the Account Owner would otherwise have the ability to read, write, and delete. However, no invitee will be provided access to any other user's Account Settings

Record Activity
With these rights, each time a member of an Outside Team interacts with an Account Owner's record, their record activity is recorded by ParkSitesIO. This activity can be viewed by clicking the Info option of a record's actions menu. By clicking the Info option, users can view who created the record and who last made an update to the record.

Personnel Issues
The reason for providing such open access to an Account Owner's records is the fact that most users within the mobile home and RV park industry will utilize 10 or fewer virtual assistants at any given time.

Because of this fact, ParkSitesIO has chosen to take the development position that record violations within an Outside Team are a personnel issue rather than truly a data security issue. In essence, if an Account Owner can not trust an invitee to responsibly maintain the Account Owner's records within their environment, the invitee should not be a member of an Outside Team.

Info - For more information about adding users to your Outside Team, please refer to our article titled Inviting Users to an Outside Team.
Info - For more information about revoking an invitees access to an Outside Team, please refer to our article titled Revoking Invitee Access to an Outside Team.
Alert - By inviting a user to your Outside Team, Account Owners are providing full access to the information stored within their Park Sites View and CRM View.
